The Gap Between Caring And Following Up
Every practice we’ve ever talked to cares about their patients. Almost none of them have a reliable system for what happens after the appointment ends. The treatment plan gets handed over, the patient walks out, and the follow-up depends entirely on whether someone at the front desk remembers to send it, on top of everything else on their list that day.

Build The Templates Once
This week’s tip: ask AI to write three follow-up templates, save them somewhere your team can find them, and agree on when each one gets used.

- Following up on a treatment plan that hasn’t gotten a response after one week
- After a completed procedure, asking for feedback

Make It A Team System, Not A Personal Habit
Edit the drafts to match your voice, then save them somewhere shared, not just your own inbox. Make sure everyone on your team knows which template to use and when. A follow-up system that lives in one person’s head, or one person’s sent folder, isn’t really a system yet.
Build it once. Every follow-up after that becomes much faster and easier to send.
