Fill in the brackets with your own details, then copy and paste directly into ChatGPT, Microsoft Copilot, or any AI tool.

Edit It Once, Then Save It

Read the draft, adjust the tone if needed, and send it. Then do one more thing that most people skip: save it. Once you’re happy with a version, keep it somewhere you and your team can find again, a shared drive folder, a note in your practice management system, wherever your team already looks for templates.

Next time that situation comes up, you’re editing a few details instead of starting from a blank page.
